All about Projects in Tableau

In a typical project path, an analysts would use Tableau Desktop to create workbooks then they would use Tableau Server to publish a workbook or data source on Tableau Online. There is an option to safe workbooks within a “Project” and then publish it. If they don’t specify a project, their content is published to the Default project.

The user is automatically made the administrator (admin) when they create a project. As an admin, you can create projects to hold and organize related content, or to delegate content management.

On Tableau Server, you can create a site, project, data source workbooks and views of specific sheet. When you create a site you become a site admin, which means that you have unrestricted access to the content of that site. As a site admin you can create projects, manage workbooks and assign site and project roles and permissions to other members (The Data School).

Projects helps to store workbooks and data sources in one place, it is a great place if you want to organize workbooks and data sources in one place. Site admins can assign someone to lead projects and they are known as “Project Leaders”. Project leaders can create, explore, publish and assign roles and permissions to other users. Projects can contain nested projects.

Workbooks can be shared between projects as long as they are within the same site.

2. Server Administrator Explorer: This is the 2nd highest rank. They are like Lieutenant general 2nd in command. They can view and publish data but to a limit. This is usually granted to a new hire within the BI/analytics team who is getting used to the data but cannot be given full access to avoid errors. These users can add other server users to their Site. Within the Site, they can create groups to make the management of permissions easier at a Project Level.

3. Creator: This is the 3rd highest rank. Creators can publish their dashboards to Tableau Server. They are like Colonel. They can download, edit and save content on the Server. This is the maximum level of access available to Creators and any of these default permissions can be removed by the Site Administrator.

4. Explorer: Explorers can open dashboards on Tableau Server and can make edits, build new views ,explore and analyse the data further in WebEdit but these changes cannot be saved. They are like Majors.

5. Viewer: They are like Captain because in the army field usually Captain lead the way whereas other senior officers are in the office. So, Viewer are the ones who would see the dashboard most often and make decisions upon it. They can only view the data in the format it was published. They can interact with dashboards (apply filters etc) but cannot open dashboards in WebEdit.
